How to ask
Write to hello@villagehallhub.co.uk from the email address on the account, and say whether you want your own account removed or the whole hall closed.
You do not have to give a reason. We will confirm within one month, and normally a great deal sooner. Writing from the account address is how we know the request is really yours — if you cannot, tell us and we will find another way to check.
If you are on a hall's committee or staff
Deleting your own account removes your name, your email address, your password and every device you have signed in on. You will be signed out of the app everywhere, straight away.
It does not delete the hall's diary, invoices or compliance records. Those belong to the hall rather than to you, and the rest of the committee still needs them. If you want the hall itself closed, someone who can speak for the hall needs to ask.
If you are closing a hall's account
Everything belonging to that hall is deleted: bookings, rooms, hirers, invoices and payments, safety checks, documents, committee records and every account attached to it.
Take a copy first if you want one. You can export bookings, invoices and payments as spreadsheets at any time while the account is open, and we will help if the export does not cover what you need. Once it is gone we cannot get it back for you.
If you hire a hall
Your details were given to the hall you hire from, and the hall holds them. Ask the hall directly — they can remove you themselves, straight away, and they are the ones who decide.
If you cannot reach them, write to us and we will pass it on. Signing out of the app removes your access token from your phone immediately, whether or not anything else happens.
What is kept, and for how long
When a hall closes its account, its records are held for 90 days and then deleted. That grace period exists so a hall which leaves and changes its mind does not lose everything. Ask us and we will delete it sooner.
Technical request logs — which hall and account made a request, when, and from which IP address — are kept for 90 days and then deleted automatically, whether or not you have asked for anything. They never contain the contents of a request.
Backups are overwritten on their own schedule, so a copy of deleted data can survive in a backup for a short time after the live record has gone. It is not used for anything and is not restored except to recover from a fault.
The privacy policy sets out everything we hold and why. If you think we have handled your information badly, you can complain to the Information Commissioner's Office at ico.org.uk.
