Everything we have changed, and when
Most of what is on this page started as an email from a village hall. We write these in the same words we send our
halls, so you can see for yourself how often this thing actually moves.
Emails were being written up twice on the communication log
Every email the system sent a hirer was recorded twice on their communication log, with the same date and the same wording, which made a portal invitation look as though it had gone out two or three times. It was only ever sent once. The log now has one line per email, as it always should have. Existing duplicates stay where they are rather than being tidied away behind your back. Thanks to Binfield Memorial Hall for reporting it.

The door code and the portal link now reach everybody who books
Where a hirer had more than one person ticked as booking the hall, only the first of them was ever written to. A garden club with a secretary who books and a separate member who turns up with the key had named both, and the person actually opening up was the one person not getting the door code.
Both the portal invitation and the door code now go to everyone ticked as booking the hall, and the portal invitation also goes to everyone ticked for invoices. Tick one person and nothing changes; tick two and both hear from you. Somebody with an end date against them stops being written to as before. Thanks to Binfield Memorial Hall for spotting it.

Logos are back on invoices
If you had uploaded a logo for your hall under Settings, then Branding, it stopped appearing on invoice PDFs, statements and grant applications. Nothing was wrong with your logo and nothing you did caused it: the part of our system that builds PDFs refuses to open files outside a list of folders it is given, and after a change to how the site is deployed your uploaded images were sitting just outside that list. It failed quietly, which is why it went unnoticed. Your logo is back on your invoices with nothing for you to do, and there is now a test that will not let it happen again. Calendars showed the wrong month on the 31st
On the thirty-first of a month, any month with thirty days in it was named as the one after. Your public calendar could be headed October while showing September, the arrows either side of it stepped to the wrong months, and the Month filter on your Bookings list offered "October 2026" for your September bookings.
Nothing was ever booked, moved or shown on the wrong date - the bookings were always right, it was the month written above them that was wrong. It corrected itself the next day, which is presumably why nobody had reported it.
Fixed everywhere it appeared: your public calendar, the embedded one, the hirer portal calendar, your own booking calendar and the Bookings month filter.

Read only now means read only
Some of your screens were not checking what somebody was allowed to do before letting them do it, so a person you had given the Read Only role could still change things. In particular they could tick rows on a list and use Delete selected - on almost any screen - and they could add or remove extras, facilities, hirer types, key contacts, closures and committee members.
We are not aware of anybody losing anything to this, and it needed somebody already signed in to your hall to do it. But Read Only should mean read only, and it now does.
Everything is checked in the same way across every screen, and we have added a test that fails if a new screen is ever added without those checks, so it cannot quietly come back.
Two things changed for the better while we were in there. Trustees can now write and edit meeting agendas and minutes, which they could only read before - a chair had to be made an Admin to record what her own committee had decided, which also handed her the invoices and the settings. And deleting a payment is now held to whoever may delete an invoice, rather than being open to anybody.
If you have given somebody Read Only and meant them to be able to change things, they will need a different role - Booking Secretary, Treasurer or Trustee, depending on what they do for you.

Heating now carries across a whole term
Setting a heating level on a repeating booking and choosing "every date in the series" set it on that one date and quietly left the rest of the term alone. The field was added to the booking form the day before without being added to the list of things a series shares, so every other change carried and this one did not.
It carries now, whichever date of the series you edit and whether you choose the whole series or this date and the ones after it. If you have already set temperatures a date at a time, they are still there - nothing has been changed behind you.

Deleting the first date of a repeat no longer breaks up the rest
If you deleted the date a repeating booking started on, every other date stayed in the diary but quietly stopped being a series. They still looked like a run and still appeared on the right days, but editing them together no longer did anything, and nothing on screen said why. The confirmation only promised to remove that one date, which is exactly what anybody would have believed.
Deleting the first date now hands the series to the next one: it takes over the repeat settings and the remaining dates follow it, so the run carries on being a run. Deleting any other date behaves as it always has, and deleting a whole term still clears it.
The confirmation now says so too, naming the date that will become the new first date.

Phone numbers for the people on your team
There was nowhere at all to put your own phone number. Team Members showed a Phone number column and, if you opened somebody's record, told you they could set their contact details on their own profile - but My Details only ever had your name, your email address and your password. The one screen was pointing at the other, and the other did not have the box.
My Details now has a phone number box. Fill it in, or clear it, whenever you like.
If you run the hall, you can also set or correct a phone number for anybody else on your team from the Team Members screen, without waiting for them to get round to it. Their name and email address stay theirs to change, because the email address is what they sign in with, but a phone number is the committee's to keep and yours to tidy up.
Thanks to the hall who wrote in and pointed out that the button they had been sent to look for was not there.

Deleting one of your own enquiry questions now works
If you added a question of your own to your enquiry form and then wanted rid of it, pressing the red dustbin and saving brought it straight back - and asked you to choose an answer type for a question you had just deleted.
Three things were going wrong at once, and all three are fixed. Deleting a question now sticks, whether you are removing one of several or the last one you have. The answer type you chose shows as chosen when you open the page, rather than appearing blank. And halls that used the older single-question setting can now clear it properly instead of having it handed back each time.
Nothing you have already been asked on past enquiries is affected - the answers on those bookings still show the question that was put to them.

Short invoices no longer spill onto a second page
A single booking was pushing invoices onto a second page carrying one line. The blocks above and below the table were spending most of a page before the table even started.
The addresses at the top are set more tightly, and the payment details now sit beside how to pay rather than in a long column underneath. Nothing has been taken off the invoice - it is the same document, set closer.
The invoice number and dates now sit beside the word INVOICE at the top, and who is being billed sits under your own details, rather than both being repeated in a panel underneath.
A month of weekly sessions now fits on one page where a single booking did not. A genuinely long invoice still runs on, as it should.

Bookings at the very start and end of a month now show on the calendar
A month on your public calendar is never just that month. It starts on the Monday of the week the 1st falls in and ends on the Sunday of the week the last day falls in, so up to six days at each end belong to the month either side.
Those days were being drawn empty. A booking on the 1st of September did not appear when somebody was looking at August, even though August drew a box for it, and the same was true of the calendar you embed on your own website.
They now show. Nothing was ever lost from your diary and nobody could double-book over it, but anybody looking at the end of a month was being shown a quieter hall than you actually had. Apologies for that.

Your billing page now tells you if we need a card
If your hall is on a trial and we do not have a card for you, the billing page now says so plainly: the date your trial ends, what happens when it does, and a button to add a card.
It used to say you were subscribed to your plan and leave it at that, which was true but not the whole truth - without a card nothing is taken and the plan simply stops on the trial end date. One hall wrote in asking how to pay us, and they were quite right that there was no obvious way to.
You can also move between monthly and annual now. If your hall was put on one at sign-up, the other used to show as your current plan and could not be chosen - so there was no way to change your mind. The button now says which one it would move you to.
Cards are handled entirely by Stripe. We never see or store them.
